GoHighLevel automation

GoHighLevel automation, set up so it doesn't break.

We build and fix GoHighLevel workflows, pipelines, calendars and SMS for US service businesses. When GHL can't see what it needs, we connect it to Stripe, Gmail, Slack or an AI step through n8n.

What we set up

The parts of GHL that run your sales.

Workflows and triggers

Triggers that fire once, wait steps that respect business hours, if/else branches and goal events. Re-entry settings checked so nobody gets the same text twice.

Pipelines and opportunity stages

Stages that mean something, moved automatically when something actually happens, and a daily check for opportunities nobody has touched.

Calendars and appointments

Round robin, confirmations and reminders that stop when an appointment is canceled, and a rebooking path for no-shows.

A2P 10DLC and SMS

Brand and campaign registration, consent language on your forms, opt-out handling, and missed call text back that sounds like your office.

Contacts, tags and custom fields

One naming system for tags and fields, smart lists your team can trust, and matching by email and phone so forms don't create duplicates.

Webhooks and API

Inbound webhooks, custom webhook actions and the GHL API through private integrations, so n8n and your other tools can read and update GHL safely.

What it looks like in a real build

This is the GoHighLevel side of our post-call system, built and tested on a demo location. n8n reads the call notes and decides the next step. GHL receives the result through an inbound webhook, finds the contact by email, updates the fields, and branches into one of five paths: send the proposal, ask for missing information, follow up, book another call, or flag it for a person.

GoHighLevel workflow: inbound webhook, find contact by email, update contact fields, then five branches that tag the contact, update the opportunity stage and notify the team
Each branch adds a tag, moves the opportunity to the right stage and, where needed, notifies the team or starts a follow-up sequence. Test location, sample contacts.

Problems we fix most often

  • Workflows that fire twice. Two triggers on the same event, or re-entry left on, and the customer gets two texts.
  • Duplicate contacts. A form, a calendar booking and a Facebook lead each create their own record for the same person.
  • Texts that never arrive. A2P isn't approved, or the campaign description doesn't match what you actually send.
  • Reminders after a cancellation. The appointment is gone, the reminder sequence keeps going.
  • Tags nobody understands. Forty tags, three spellings of "hot lead", and smart lists nobody trusts.
  • Opportunities stuck in one stage. Nothing moves them, nothing checks them, and the deal goes quiet.

When GHL is enough, and when it isn't

Most follow-up, reminders, tagging and stage moves should stay native in GoHighLevel. Your team can see them and change them. We add n8n or Zapier when a decision needs data GHL doesn't have: why a Stripe payment failed, what the last email actually said, or whether the customer already replied somewhere else. See how we split it in GoHighLevel and Zapier.

Built on GoHighLevel

Each of these runs against a GoHighLevel location and is shown step by step:

A version of the lost deal workflow is also published as a free template on n8n: Recover lost GoHighLevel deals with OpenAI, Gmail and Google Sheets.

FAQ

Questions, answered.

Do you work inside our account or an agency sub-account?

Either. We work in the location where your team already works, with a user you create for us. Nothing gets moved to a new account.

Can you help with A2P 10DLC registration?

Yes. We check the brand and campaign details, the consent language on your forms and the opt-out handling, so the registration has the best chance of passing and your texts stop getting filtered.

Can you fix workflows someone else built?

Yes, and it's often the first job. We map what runs today, turn off what fires twice, fix what skips contacts, and document what's left so your team knows what each workflow does.

Do you build funnels and websites in GoHighLevel?

No. We focus on what happens after a lead arrives: workflows, pipelines, calendars, follow-up and the connections to your other tools.

When do you add n8n or Zapier on top of GoHighLevel?

When the logic needs data GHL can't see, like Stripe decline reasons or an email thread, when a step needs AI, or when one decision depends on several systems at once. Everything that GHL handles well stays native.

What does it cost?

Single-process builds start at $1,200 at a fixed price. Cleanup of an existing account is quoted after we see it, usually on the first call.
